Position Summary
We are looking for a super organized person who loves to multi-task and makes a great first
impression! The Office Manager/Receptionist is the first source of communication for both Nettwerk
& YYOGA and is responsible for the effective organization of the front desk operations. This individual
must effectively coordinate incoming phone calls and understands the importance of being the face
of both companies.


Main Duties
• Receive and direct incoming calls from the main phone lines for both Nettwerk and YYOGA
• Greet all incoming guests and alert staff of when guests arrive
• Sort and organize incoming and outgoing mail including mass mail outs
• Coordinate ad hoc couriers, shipping and organize weekly courier packages to other offices
• Maintain schedule for conference call lines
• Maintain schedule for meeting room bookings for both Nettwerk and YYOGA
• Maintain company-wide staff lists for both Nettwerk and YYOGA
• Maintain office key and parking assignments
• Assessing and managing needs of the office
• Maintain office supply cabinet and order supplies as needed, including shipping supplies, milk and coffee; coordinate stationary supply and printing contracts
• Oversee general office cleanliness and organization, liaise with the office janitorial service
• Handle maintenance of coffee machine and kitchen appliances
• Liaison between office and building maintenance for appropriate requests
• General data entry and administrative support
• Assist with organizing special events for Nettwerk and YYOGA
• Answer artist management lines for Nettwerk
• Organize and distribute promotional CD allotments
• Maintain a focus on reducing the environmental impact of the office
• Responsible for delegating and assisting with all enquiries via the YYOGA website
• Oversee all YYOGA feedback channels, assisting with reporting and responses
• Other duties as assigned


Qualifications
• A minimum of 2 years in a similar role in either the entertainment or hospitality sectors
• A bachelor degree in Communications preferred but not required
• Extremely strong organizational skills
• Excellent phone etiquette; friendly and positive demeanor
• Strong attention to detail
• Strong communication skills
• Strong problem solving skills
• Ability to multitask
• Ability to take direction
• Strong working knowledge of MS Office applications, with attention to Excel
